Privacy Policy

When you sign in, Discord provides your account ID, username, and avatar. When you use Vantic in a community, we hold the data the features need to work: linked gamertags, in-game statistics and events from connected servers, shop and giveaway activity, settings, warnings that a server's staff log against a player, and audit logs of administrative actions. A server shows its staff where online players currently are on the map. Where a player has been is kept for a player whom that server's staff have warned as many times as the owner has set: from then, for up to seven days at a time, with no more than three days of movements held by us. A server owner may also choose days of the week on which the movements of every player online on that server are kept; those are deleted after 48 hours. Server owners additionally provide connection details for their game servers. We also count which sections of the dashboard a server's staff open, per server rather than per person, so we can see what is used and what gets in the way.

We do not read your Discord messages; the bot receives only the commands and interactions sent directly to it. Payments are processed by Stripe, and card details go to Stripe alone. Vantic never receives or stores card numbers.

Game server connection credentials are encrypted at rest with AES-256 and decrypted only inside the service that maintains the server connection. They are never shown back in full, logged, or shared.

Data is used to operate Vantic: running the features a community turns on, delivering purchases, preventing abuse, and improving reliability. We do not sell personal data, and we do not use it for third-party advertising.

Only the processors the platform runs on: Discord (identity and bot APIs), Stripe (payments), hosting and database infrastructure, and, where a community connects one, its game hosting provider. Each receives only what its role requires. On the public pages of this website only, Microsoft Clarity records how pages are used; it is described under Cookies below.

Vantic uses a session cookie to keep you signed in. Sessions expire automatically after inactivity. We do not use advertising cookies.

On the public pages we also set one cookie of our own, a random number that lasts 90 days, so we can tell which video, post or site brought a visitor here, which pages they read before signing up, and which country the connection came from (two letters, nothing finer). It holds nothing about you, it is sent only to this site, and it is never used on your dashboard, your store or a status page. If you later sign in with Discord or connect a server, that visit is linked to your community so we know where our customers come from. Trails are deleted after 90 days unless they belong to a community that is still with us, and they go when the community does.

On the public pages of this website (the home page, the guides and the blog) we use Microsoft Clarity to see how pages are used: how far people scroll, what they click, and where they leave. Clarity sets its own cookies and sends that usage to Microsoft, which processes it for us. It does not record what you type, we refuse its advertising storage, and it is not used to advertise to you. It never runs once you are signed in: not on your dashboard, your store, a status page or a checkout, and those pages are technically blocked from loading it. Every visitor is asked before it starts, and nothing is recorded until you accept. You can change that choice at any time from Cookie settings in the footer of every page. If your browser sends Global Privacy Control or Do Not Track, it does not run at all.

Community data is retained while the community uses Vantic. When a server is removed or a subscription ends, its operational data becomes inactive and is deleted on our cleanup schedule. When a community removes Vantic we keep an anonymous summary of how the product was used, such as how long it was connected and which dashboard sections were opened, with no community, server, account or player names, so we can improve the service, together with any reason you choose to give for leaving. If the bot is removed in Discord rather than from the dashboard, we may send the owner one message asking why; it is never followed up. When you buy a one-off service we record when and from where its terms were accepted, and we keep a record of any account whose payment was charged back or reported as fraud so that we can refuse it future service. You can request deletion of your personal data at any time by contacting us; owners can request removal of a community's data in full.

You may request a copy of the personal data we hold about you, ask that it be corrected, or ask that it be deleted. We handle requests in line with the Australian Privacy Principles and, where they apply, the GDPR and other local privacy laws.
